In a world where most companies still rely on static documents and outdated processes, Optimal Process (OP) Media Inc. is bringing a much-needed change. The company's CEO and Founder, Afu Taumoepeau, spent over 30 years in operations across industries like healthcare and finance. From the frontline to management, he’s seen firsthand the inefficiencies of the traditional systems many companies still use to manage processes. Today, his Farmington, Utah-based company is working to solve that problem by creating dynamic, real-time operational systems that eliminate friction and streamline processes.

“Our product is primarily about the process,” Taumoepeau shared during an interview with TechBuzz. “If you have a good process, you're going to get good data. If you follow a bad process, you're going to get bad data.” This belief is at the heart of what Optimal Process Media aims to solve: ensuring companies can rely on the data they generate by creating strong, efficient processes that are easy to manage and update.

From Antiquated PDFs to Dynamic, Data-Driven Processes

For decades, organizations have relied on cumbersome methods to document and execute their processes. Taumoepeau explained how, for years, these processes were written out in Word documents or PDFs, printed, and stored in repositories. When someone needed to use them, they had to pull up the document, read through static instructions, and then hope they followed it correctly.

“I've been in operations for 30-plus years, and what I noticed is that we've done the same thing the whole time,” Taumoepeau shared. “We write up a process in a document, turn it into a PDF, and it just sits there. That system is old and antiquated.”

However, with Optimal Process Media’s flagship product, OP System, this approach is being overhauled. The system allows companies to digitize their processes in a dynamic way, enabling subject matter experts to create interactive workflows that are easily updated and provide real-time data.

One example Taumoepeau highlighted involved a nurse at a rural hospital. “She had spent a week creating a 39-page laminated quick reference guide for the other nurses. When she saw our technology, she was able to put that entire guide into an op and make it dynamic, allowing anyone to access it via a QR code. What took her a week now takes just a few minutes to update,” Afu explained. This real-time flexibility is a game-changer for organizations that rely on ever-changing data, such as healthcare providers.

AiBL: Authentic Intelligence Beyond Legacy

A key part of OP Media’s offering is its AI component, called AiBL (Authentic Intelligence Beyond Legacy). AiBL is designed to learn from both documented processes and "tribal knowledge," a term referring to unwritten expertise passed between experienced workers over time. As Taumoepeau explained on the Meat & Potatoes podcast, tribal knowledge is especially common in industries where experienced workers "know exactly how to do it the way that they do it" but may not have formally documented their processes. AiBL helps capture and digitize that valuable knowledge, making it accessible and trackable.

In the podcast, Taumoepeau highlighted how AiBL can preserve the expertise of longtime workers who may otherwise leave without passing on their know-how: "You have those tenured staff members who are really good at what they do, and so you know that tribal knowledge means that they have like 10 or 12 people around them that know exactly how to do it the way that they do it. And no documentation. They just know how to do it."

This knowledge can now be stored and enhanced through the Optimal Process System, empowering organizations to keep improving their processes.

Proving the Concept Through Pilots

OP Media is now in revenue after conducting several pilot programs in Utah, three in the health

sector and two more in emergency planning.  These pilots have shown strong results, particularly in healthcare operations, where process management is critical.

“We have worked with hospitals like Kane County, Beaver Valley, and Milford Memorial. One of the big challenges we’ve seen is in revenue cycle management and inter-facility transfers. The traditional way of managing these processes was through static workflow documents, but now, with OP System, they can manage it in real-time,” said Taumoepeau.

Beyond healthcare, Optimal Process Media has also tested the technology with Davis County’s emergency management team. Taumoepeau explained that communication is critical for emergency responders, and the OP System allows them to update evacuation plans in real time and distribute that information quickly. This ensures that accurate data reaches the right people without delay, avoiding the need to wait for phone calls or webpage updates.

In both interviews, Taumoepeau emphasized how important real-time data is for government groups managing emergencies. He noted that being able to track and adjust responses based on live data can be lifesaving, and he is excited to see how operators are creatively adapting the technology to fit their needs. They are currently starting pilots with the armed forces, as well as one with The Church of Jesus Christ of Latter-day Saints, specifically in their Papua New Guinea meetinghouses. 

Scaling Across Industries

While OP Media is currently concentrating on healthcare and emergency management, its technology has the potential to be used across various industries. Taumoepeau explained that regardless of the sector—whether it's healthcare, manufacturing, or education—every industry has processes that can benefit from streamlining. OP System is versatile and can be adapted to fit the needs of any field, making it "process-agnostic" and applicable in a wide range of settings.

The company's strategic partnership with VirnetX, founded in 2005 and known for its high-level security systems, makes Optimal Process Media’s technology even more appealing to industries that require stringent security measures. “Our platform is HIPAA-compliant, which is huge for healthcare, but it also has the potential to serve defense contractors and other high-security industries,” Taumoepeau shared.

Looking to the future, Optimal Process Media plans to continue expanding its pilot programs and exploring new opportunities to scale the business. “We’re just getting started,” Taumoepeau stated confidently. He emphasized that the company is focused on driving meaningful change in how organizations handle their operations. By refining processes and leveraging real-time data, OP Media aims to help businesses become more efficient and adaptable in an ever-evolving landscape.

A Vision for the Future of Process Management

As Optimal Process Media continues to expand, Taumoepeau remains focused on helping organizations take control of their processes, transforming them into dynamic and data-driven systems. “The bottom line is that if you have good data, you can make good decisions. And good data comes from a good process,” Taumoepeau emphasized during our interview. This core belief drives the development of OP Media’s technology, offering businesses the tools to improve how they operate without needing to bring in complex technical expertise.

Looking ahead, Taumoepeau sees a future where companies across various industries can easily adapt and scale their processes in real-time, becoming more efficient in the process. He explained, "What we’ve found throughout these pilots and the revenue startup process is that businesses are so excited to create their own optimal process through establishing best practices…and those best practices are always developed/created by the company’s frontline experts; their own employees.” These frontline experts are creating the OPs (not Apps) with no coding experience needed and these are dynamic, live processes that can be changed and adapted at any time, “ensuring that accurate data reaches the right people (staff/employees) without delay, avoiding the need to wait for phone calls, reworked PDFs or updated website pages.”
